Troubleshooting: Duplicate Barcodes in Barventory


Inventory counts, reporting, or barcode scanning are inconsistent between bar and retail locations. This may include:

  • Duplicate items for the same product
  • Barcodes not scanning correctly or tied to different items
  • Sync issues between Barventory and the main inventory system 

This issue is typically caused by improper item setup or lack of item sharing across locations, including:

  • Creating duplicate items instead of reusing existing ones
  • Missing or inconsistent barcode/UPC assignments

In Yellow Dog Inventory, items are the foundation of all inventory tracking, reporting, and integrations. Duplicate or inconsistent item records break this foundation and lead to inaccurate data across workflows .


Confirm if a Duplicate Item Exists

  • Navigate to: Item Management > Inventory Items
  • Search for the product by name, SKU, or description
  • Check other stores/locations for similar items
  • Compare:
    • Description
    • Size
    • Attributes

✔ If multiple items represent the same product, this confirms duplication

Confirm Item is Shared Across Locations

  • Open the item record
  • Go to the Stores tab
  • Verify the item is marked as Available for all required locations (bar + retail)

✔ Items should exist as a single record and be shared across stores

Validate Correct Item Usage

  • Identify the correct (primary) item record
  • Confirm which item is actively used in:
    • Barventory
    • Retail location(s)
  • Determine if duplicate items are being used in different locations

 Review Barcode/UPC Configuration

  • Open the correct item record
  • Verify the UPC/Barcode field is populated
  • Ensure:
    • The same barcode is used across all locations
    • The barcode is not assigned to multiple item records

Verify SKU Mapping in Barventory

  • In Barventory, locate the item
  • Confirm the assigned System SKU matches the item in Yellow Dog
  • If incorrect:
    • Update the SKU to match the correct inventory item

Why this matters:

  • Ensures proper integration between systems
  • Prevents sync and reporting discrepancies

Test Item Functionality

  • Perform a test transaction or count:
    • Scan barcode (if applicable)
    • Enter a sample sale or adjustment
  • Verify:
    • Inventory updates correctly
    • Item appears consistently across locations
    • Reporting reflects expected behavior 

Clean Up Duplicate Items (If Needed)

  • Transfer usage to the correct item record
  • Set duplicate items to:
    • Inactive (if still referenced)
    • Removed (only if on-hand = 0)

Caution: Removing or inactivating items tied to recipes or POS mapping can impact reporting accuracy


  1. Only one item record exists per product
  2. Barcode/UPC scans return the correct item
  3. Item is visible and consistent across all locations
  4. SKU mapping matches between Barventory and Yellow Dog
  5. Inventory counts align between bar and retail
  6. Reports reflect accurate usage and on-hand values



Contact Support if: 
  1. Barcodes are assigned to multiple items and cannot be corrected
  2. SKU synchronization between Barventory and the main system continues to fail after completing the steps above.
