How To: Enter and Use Expiration Days
Expiration days refer to the number of days from the date an item is received or produced until it expires. This information helps track how long items remain valid for sale or use, and it is particularly important for managing perishable goods.
User permissions to edit inventory items.
To set or edit Expiration Days:
- Open the Item Editor.
- Navigate to the F&B Other tab.
- Enter the appropriate number of days in the Expiration Days field.
- Save your changes.
How Expiration Days are Calculated
When inventory is received, Yellow Dog automatically calculates the expiration date using:
Received Date + Expiration Days = Expiration Date
Example
- Item received on: 1/1
- Expiration Days set to: 7
- Calculated expiration date: 1/8
Important Notes
- Expiration Days do not prevent items from being sold or used after the expiration date.
- Inventory quantities are not automatically adjusted when items expire.
- Users must proactively monitor expiration dates using reports and views.
- This feature is intended to support operational review and decision-making.
How to Review Expiring Items
Yellow Dog provides tools to help you monitor items with Expiration Days set.
Inventory View
Navigate to Item Management > Inventory Items > View: Expiration
This view allows you to:
- See items with expiration dates
- Identify items approaching expiration
- Review expiration details by item and receipt
Standard Report
Navigate to: Reports > Standard Reports > Inventory > Aging > Expiring
The Expiring Report provides:
- A list of items with expiration dates
- Aging information
- Visibility into items nearing or past expiration
This report is helpful for:
- Reducing waste
- Managing spoilage
- Supporting inventory audits
- Improving purchasing decisions

- Set Expiration Days for all perishable items.
- Regularly review the Expiration view or Expiring report.
