Feature Overview: Auto-Zero Items

Feature Overview: Auto-Zero Items

Auto-Zero allows items to have no on-hand tracking while still recording costs for financial visibility.

When Auto-Zero is enabled, Yellow Dog automatically creates a manual adjustment during nightly maintenance to reset the item’s on-hand back to zero. The adjustment posts to the designated Manual Adjustment Account, ensuring the expense is properly captured in reporting.

Auto-zero configuration is found under Interfaces and can be applied per item or level. Only Yellow Dog team member can adjust Auto-Zero configuration. If you would like to set up Auto-Zero, please reach out to our Support Team.

Example: Employee Uniforms
While an organization may not be concerned with the quantity on hand at a given time of their employee uniforms, they may want to track the cost as that is expense to their organization. When this feature is enabled, any sales that might occur to this item throughout the day will put the item in the negative. Overnight when our maintenance application runs a manual adjustment will be performed in the background to bring the item on hand back to 0.

Any client can use Auto-Zero but it must be configured by the Yellow Dog team. Please reach out Yellow Dog Support for assistance.

  1. Cost Tracking: Purchases, sales, or adjustments recorded during the day will show temporary on-hand quantities, but the system will expense them out overnight.

  2. Nightly On-Hand Reset: At maintenance, on-hand is reset to zero with an automated manual adjustment.

  3. Reporting: All Auto-Zero movements are captured in Manual Adjustment Reports, ensuring transparency for auditors or financial review.

  4. Sales Handling: If items are sold, they may temporarily go negative until the nightly process brings them back to zero.
