How To: Automatically Remove Items without Activity

Removing items without activity from inventory in Yellow Dog is important because it prevents outdated or unused products from skewing reports and cluttering searches. This ensures cleaner data, more accurate reporting, and faster day-to-day operations for staff.

All client types can complete the below set up to ensure they have a clean and up-to-date inventory list.

With the system option "Mark Items with No Recent Activity as Removed" you can set inventory to automatically be removed from inventory that haven’t had activity within a selected data range. This helps keep your item list clean by hiding products that are no longer in use.

To enable this setting, a Yellow Dog Admin with access to System Setup can follow these steps:
  1. Go to System Setup > Options > Inventory.

  2. Use the Mark Items with no recent activity as Remove dropdown to select the removal date range.

Figure 1. The option "Mark Items with no recent activity as Removed " has several date range options, ranging from 3 months to 2 years.

When a date range is selected from the Mark Items with No Recent Activity as Removed dropdown, nightly maintenance will automatically remove items if they are active and have:
  1. NO on-hands quantities
  2. NO on-order quantities
  3. NO inventory activity in the specified date range (sales, purchasing, or other adjustments)
  4. were created before the specified date range

Note: A removed item and it's historical information remains in Yellow Dog Inventory and can be un-removed in the future if necessary.
