How To: Create an Event

 WHY IT'S IMPORTANT

Every concessions event has to be created and configured before inventory activity can be tracked against it. When you create an event in Yellow Dog Inventory, you define its timeframe, assign an Event Type, and set up the stands that will operate during it — the foundation for accurate sales, transfers, counts, and reconciliation.

 PREREQUISITES

     Permission to access the Stand Sheets module.

     At least one Event Type set up, since it's assigned during creation and predetermines the event's milestone times.

     The Facility for the event configured.

 STEP BY STEP

Create the Event

1.   Go to Stand Sheets > Events.

2.   Select Create New Event to open the Event Editor.

3.   Enter a Description. This field is required.

4.   Select an Event Type.

Caution: The Event Type predetermines the event's milestone cutoffs. Applying the wrong Event Type can set incorrect restock, sales, and reconciliation boundaries for the whole event.

5.   Set the Start Date/Time and End Date/Time, including the time zone for each.

6.   Select the Facility.

7.   Fill in any optional details as needed:

a.    Attendance Estimate and Attendance Actual

b.    Weather — or select Get Weather... to populate it

c.     Event Tags, Accounting Code, Notes, and Stand Notes

8.   If this event is the month-end close, check End of Month? to designate it as the EOM Event.

9.   Under Stand Sheet setup, use the Stands, Times, Periods, and Tenders tabs to add the participating stands and configure event timing.  [confirm exact steps for adding stands on the Stands tab]

10.       Select Save, or Save and Close to save and exit the editor. Select Add New to save and immediately begin another event.

The event is now created. Start Event stays unavailable until the event's prerequisites are met — starting the event is a separate step in the event workflow.
