Troubleshooting: Incorrect Quantities brought into Invoice Staging

Invoices submitted to Retriever may display incorrect item quantities. These errors usually occur because Retriever reads unintended data from the invoice. 

  • Inconsistent vendor formatting

  • Multiple, similar quantity fields on the invoice



This guide outlines typical formatting issues by vendor and how to correct them before submitting invoices to Retriever.

Ben E Keith, Stahl-Meyer, Wasatch Meat , & Halperns

These vendors often include multiple quantity columns—especially for catch-weight items (such as proteins sold by the pound). To ensure Retriever captures the correct quantity:
  1. Redact or black out all additional quantity columns and their related data.

    • You can use a marker on printed copies or a document editor on digital copies.

  2. Submit the invoice only after confirming that one clear quantity or weight field remains visible.

This prevents Retriever from importing incorrect quantities, such as case counts instead of true weight.

  • Request a consistent invoice format from your representative when possible.

  • If the format differs from what Retriever expects, you may need to manually edit item details in Invoice Staging before converting the invoice.

These vendors frequently provide inconsistent size and quantity data. When working with their invoices:

  • Review all staged invoice details carefully before converting.

  • Update sizes and quantities as needed to match the original invoice.
