Invoice Staging lets you review, correct, and validate invoice data before it updates your live inventory, helping to ensure accuracy and prevent bad data from entering your system.
🎬 What's New 377 – Invoice Staging (2 min)
How it Works
Invoices flow into Invoice Staging through an approved EDI vendor integration or via user upload with a subscription to our Retriever service. Once imported into Yellow Dog, users assign each unmatched item on a staged invoice to the correct vendor product. After an item is mapped the first time, Yellow Dog will automatically match it on all future invoices from that vendor. Once the staged invoice has been fully reviewed and finalized, users convert it into an invoice and commit, which updates on-hand inventory levels.

The User Audit Log records the actions of users, giving managers more insight into changes when monitoring the health of the system and troubleshooting issues.

The system automatically tracks activity, and the User Audit Log is your key to accessing this information. It provides visibility into who performed key actions, when those actions occurred, and what data was changed.

Setting Thresholds provides users with notifications when vendor prices exceed set limits so users can review and ensure accuracy before saving updates.

How it Works
After setting threshold percentages for Default Vendor Price and/or Invoice Staging, the system will provide warnings or indicators when the threshold is exceeded and may require notes:
Default Vendor Price Threshold Percentages
• Warning: If the default vendor price exceeds the 'Warning' percentage, a pop-up will display, and the user must click 'Confirm' to acknowledge. Adding a note is optional.
• Requires Note: If the default vendor price exceeds the 'Requires Note' percentage, a pop-up will display, and the user must enter details explaining the price change.
Invoice Staging Threshold Percentages
• Warning: When the 'Warning' threshold is exceeded in a Staged Invoice, the item details will display in red.
• Requires Note: If the 'Requires Note' threshold percentage is exceeded, the user must provide a note explaining the price change before converting the document into an invoice.

• Item Create Date — when the item was created.
• Item Row Updated — the last time the item was edited and information was updated.

How it Works
Allows user to exclude results from a report. To exclude results from a report:

Displaying inactive or removed items that still have on-hand quantities helps users spot and correct issues quickly.

How it Works
The Watchdog report will now include results for inactive or removed items that have an on-hand. This is important because while you cannot inactivate or remove an item with on-hands, other third party processes, like a POS sale, might adjust inactive or removed items and it's important to resolve this issue to maintain accurate reporting.

• Yes, Only transfer when below Reorder Pt — only fill to par items that are below the reorder point.
• No, Fill to Par without regard — fills items to par regardless of their reorder point.

How it Works
When the related permission is enabled, a start-up prompt will display alerting the user of any items without a vendor price. In the pop-up users can:
• Choose to Include PO Blocked Items (by default this is not selected).
• Enter the vendor price in the 'Vendor Price' field.
• Save updates with the 'Save Price' button.
• Select 'Finish' when done reviewing to close out of the pop-up.

Improves the readability and aesthetics of the system when viewing related recipes in the item editor.

How it Works
If an item is assigned to more than 30 recipes, the 'Recipes' field will only show the number of Kits or Recipes rather than the full list. Clicking on the field will open a list of all recipes.

How it Works
When you create a new item, the vendor you assign will automatically be set as the Primary Vendor on the Vendor Products tab of the Item Editor. This plays an important role in:
• Vendor Pricing Checks — when the system looks for items without a vendor price, it defaults to the primary vendor.
• Bidding & Order Desk Worksheets — during bidding workflows, the primary vendor is included in the vendor selection process on the Order Desk Worksheet.

How it Works
If the related permission is unchecked, all invoice staging documents must be PO linked before converting to an invoice.
