How to Identify  Your Version and Build

🎬 How to Find your YDI Version (1 min)

To identify if your Yellow Dog Inventory is currently on Version 377 and the most recent build 2026.1.26.377, follow the steps below.

1.   Click the Help menu on the top taskbar.

2.   Select About from the dropdown.

3.   Scroll down to the Assembly Version section.

4.   Locate the version number in the Common row, under the File Version or Assembly Version column.

Invoice Staging lets you review, correct, and validate invoice data before it updates your live inventory, helping to ensure accuracy and prevent bad data from entering your system.

How it Works

Invoices flow into Invoice Staging through an approved EDI vendor integration or via user upload with a subscription to our Retriever service. Once imported into Yellow Dog, users assign each unmatched item on a staged invoice to the correct vendor product. After an item is mapped the first time, Yellow Dog will automatically match it on all future invoices from that vendor. Once the staged invoice has been fully reviewed and finalized, users convert it into an invoice and commit, which updates on-hand inventory levels.

Enabling

This feature requires a contracted EDI integration (direct vendor invoice import) or a subscription to our Retriever service (user invoice upload). Additional setup is required and outlined in the Invoice Staging Guide.

No more stressing over mistakes that created inaccurate calculated costs. Cost Adjustments allow you to quickly fix these inaccuracies.

How it Works

When users create a cost adjustment, manual adjustments are automatically created to zero out inventory then adjust the item back up to the original on-hand at the new set calculated cost.

The User Audit Log records the actions of users, giving managers more insight into changes when monitoring the health of the system and troubleshooting issues.

Location: Reporting > User Audit Log

How it Works

The system automatically tracks activity, and the User Audit Log is your key to accessing this information. It provides visibility into who performed key actions, when those actions occurred, and what data was changed.

Users with access to the User Audit Log will be able to:

•     Filter by date range

•     Search details

•     Export or print activity

 The User Audit search allows you to filter results by key details such as employee name, item SKU, or document number.

Enabling

•     User Audit Log > Visible — Allows users to view the User Audit Log.

Setting Thresholds provides users with notifications when vendor prices exceed set limits so users can review and ensure accuracy before saving updates.

Location: System Setup > Options > Thresholds (to set threshold percentages, an Admin User will go here)

How it Works

After setting threshold percentages for Default Vendor Price and/or Invoice Staging, the system will provide warnings or indicators when the threshold is exceeded and may require notes:

Default Vendor Price Threshold Percentages

•     Warning: If the default vendor price exceeds the 'Warning' percentage, a pop-up will display, and the user must click 'Confirm' to acknowledge. Adding a note is optional.

•     Requires Note: If the default vendor price exceeds the 'Requires Note' percentage, a pop-up will display, and the user must enter details explaining the price change.

Invoice Staging Threshold Percentages

•     Warning: When the 'Warning' threshold is exceeded in a Staged Invoice, the item details will display in red.

•     Requires Note: If the 'Requires Note' threshold percentage is exceeded, the user must provide a note explaining the price change before converting the document into an invoice.

 Thresholds are configured under System Setup > Options > Thresholds.

  REPORTING 

New reports and reporting enhancements that give teams faster, clearer answers out of the data they already have.

Missing sales may indicate an item setup or integration issue. Knowing when sales are not coming through allows users to investigate and resolve these problems quickly.

Understanding the timeline of item activity provides critical context for informed decision making regarding data cleanup and item maintenance.

Location: Reports > Standard Reports > Troubleshooting > All Items with most recent activity

How it Works

Displays all inventory items along with the following activity dates:

•     Most Recent Adjust — the last time the on-hand was adjusted on the item.

•     Most Recent Commdoc — the date the item was last included in a purchasing document.

•     Most Recent PI — the date the item was last included in a physical inventory.

•     Item Create Date — when the item was created.

•     Item Row Updated — the last time the item was edited and information was updated.

Items Active Since

Knowing which inventory items have had activity since a specific date helps you focus on the products that are actually in use. It supports data cleanup, improves reporting accuracy, and makes it easier to prioritize items for counting, auditing, integrations, and ongoing inventory management.

Displays a list of items that had any activity as of a selected date.

Helps you quickly identify which dimensions are actively in use and which ones can be safely removed to keep your data clean and accurate.

Location: Reports > Standard Reports > Lists > Dimensions used

How it Works

This report allows you to:

•     View all dimensions along with the count of items assigned to each dimension.

•     Filter the list to show only unused dimensions for easy cleanup.

Offers more variety in sales reporting by providing a breakdown of sales by COGS account by the day.

How it Works

Displays a summarized breakdown of COGS by day.

Offers users a summary of activity that can be used for comparison with purchasing reports.

How it Works

This report uses applied cost (the cost actually recorded on a document or adjustment) rather than the current system calculated cost so accurate comparisons can be made between this report and purchasing reports.

Provides greater filtering options by allowing users to remove specific results from reporting data.

Location: The right-click column header menu available in any report.

How it Works

Allows user to exclude results from a report. To exclude results from a report:

1.   Right click a column header.

2.   Select 'Apply Column Filter'.

3.   Use the '!' operator to remove data rows that do NOT contain your search string. Example: !shirt

Displaying inactive or removed items that still have on-hand quantities helps users spot and correct issues quickly.

Location: Home > Watchdog

How it Works

The Watchdog report will now include results for inactive or removed items that have an on-hand. This is important because while you cannot inactivate or remove an item with on-hands, other third party processes, like a POS sale, might adjust inactive or removed items and it's important to resolve this issue to maintain accurate reporting.

WHERE / WHAT'S NEW

FUNCTION

All Sales Captured Report — 2025.10.31.377 — Troubleshooting > All Sales Captured. Adds a 'Total Gross Retail' column; the 'Item Discount' field shows total discount rather than per-item discount; the 'Item Discount' column carries a total sum at the bottom of the report.

Provides more detailed and enhanced information.

Any report displaying items per store — 2025.7.23.377. Adds an 'Inventory Asset Account' column.

Provides the GL account assigned to items, for better analytics.

Actual vs Theoretical Reports — 2025.10.31.377 — F&B > Food Cost > Actual vs Theoretical. Adds Quantity, Cost, and Retail columns for Manual Adjustments Down/Up, Received, Return to Vendor, Transfers Accepted/Issued, Picklists Accepted/Issued, Sales Returns, Physical Inventory, and Usage Variance.

Added information allows for deeper insights.

 

  PURCHASING 

Updates across purchasing documents, transfers, invoice staging, and invoices.

Provides greater flexibility when editing items in purchasing documents.

How it Works

The new 'Edit Related Size' button grants users the ability to update the details of related item sizes. This feature is especially useful for retail clients who purchase products by the case but sell them individually, as it allows easy updates to the retail prices of the unit size when price changes occur at the case size.

Filters item results to include only items that are purchasable or transferable, so users view only those that align with the expected behavior for their document type.

Location: Transfer and Purchase Orders after selecting 'Add Line Items'

How it Works

When adding line items to a Transfer, the default item view is 'Transfer Eligible Sizes'. When adding line items to a Purchase Order, the default item view is 'Purchasing Eligible Sizes'.

Gives users control over whether transfers should respect reorder points, helping prevent unnecessary stock movements and ensuring inventory stays aligned with actual demand.

How it Works

When filling items to par, a new pop-up will display asking, "Would you like the Reorder Pt respected when determining which items to transfer?". You will be able to choose from the following options:

•     Yes, Only transfer when below Reorder Pt — only fill to par items that are below the reorder point.

•     No, Fill to Par without regard — fills items to par regardless of their reorder point.

Allows users to decide whether to include negative on-hand quantities when filling to par, ensuring more accurate and intentional transfer quantities.

How it Works

When you choose to fill to par and have items with negative on-hand quantities, a pop-up will display and present the following options:

•     Only Fill to Par — does not include negative quantities in the determination.

•     All the Way to Par — includes negative quantities in the determination.

Allows verification of order quantities against received quantities in staged invoices.

Location: Staged Invoice Editor > Purchase Order Information

How it Works

When a purchase order is linked in a staged invoice, purchase order information is compared to invoice details. In addition, the original purchase order will be updated in the following ways:

1.   Marked as 'Invoiced via EDI'.

2.   The staged invoice will be linked to the PO and accessible within the purchase order by selecting 'Open a Related Document'.

 By selecting the yellow text 'No POs Selected --- Click Here to Link PO' within a staged invoice, you will be able to link a PO and compare order quantities against invoice quantities.

Preventing invoices from being committed with a future date helps to avoid inaccurate invoicing and reporting data.

How it Works

Invoices can no longer be committed with a future date. If a user attempts to do so, a pop-up warning will appear stating, "The commit date cannot be in the future".

Frees up precious real estate on your screen when editing invoices or return to vendor documents.

How it Works

Clicking 'Collapse Expense' minimizes the expense section allowing you to view more line items on your screen. When you are ready to view expenses again, select 'Expand Expenses' to bring them back up.

PHYSICAL INVENTORY 

Updates spanning count sheets, sessions, physical inventories, and manual adjustments.

This feature guarantees that new items are assigned to a count sheet at the time of creation, helping ensure all items are included on a count sheet.

How it Works

Item count sheet assignment is now required for Food and Beverage operations. The system will ensure all new items are assigned to a count sheet by displaying a prompt when saving a new item. The prompt will require the user to assign a count sheet before the item can be saved.

The Count Sheet Assignment tab streamlines item auditing and count sheet management by allowing users to review and update assignments directly within the Item Editor.

How it Works

Displays current count sheet assignments and also includes these options:

•     Edit Count Sheet — opens a selected count sheet for editing purposes.

•     Add To Count Sheet(s) — allows users to assign the item to the selected count sheet.

•     Remove from Count Sheet — unassigns the item from the selected count sheet. Requires reassignment to another count sheet if the removed count sheet was the only one assigned to the item.

 The Count Sheet Assignment tab provides users with an easy way to review and edit count sheet assignment on a per item basis.

Enabling

•     Item Editor > Count Sheet Assignment Tab — Grants user access to view the Count Sheet Assignment tab.

Adds another safeguard to guarantee count sheet assignment for all items, leading to more reliable and accurate physical inventory counts.

How it Works

After launching Yellow Dog Inventory and signing in, a start-up prompt displays for users that have the related employee permission granted. The prompt will display all items without a count sheet assignment and allow the user to complete assignment on these items.

•     Inventory Items > Start Up Count Sheet Assignment > Visible — Turns on the start-up prompt, allowing users to see items without a count sheet assignment and complete assignments.

Provides an added layer of protection to ensure all items are assigned to a count sheet.

Location: Prompt that displays when an item is removed from a count sheet and not assigned to any other count sheet.

How it Works

When an item is removed from a count sheet and does not belong to any other count sheet, a pop-up will display requiring you to reassign the item to another count sheet.

Provides a convenient way to sort count sheets, saving time and improving count sheet management efficiency.

How it Works

After highlighting an existing count sheet and selecting sort, users are able to sort the count sheet by as many parameters as they like. There are over 50 different sorting parameters to choose from, with the newest addition being the ability to sort by bin.

How it Works

When the right-hand button 'Check store Count Sheet(s) For Missing Item(s)' is selected, the system scans all counts sheets and identifies any items without a count sheet assignment.

Allows you to create manual sessions from count sheets faster.

Location: Physical Inventory > Count Sheets > Create Session

How it Works

The right-hand button 'Create Session' generates a new session that includes all items from the count sheet. This helps users who collect counts using printed count sheets create sessions quickly. To make the session creation process even faster, users can highlight multiple sessions then click 'Create Session' to generate multiple sessions based off the selected count sheets.

 Anytime you choose to create sessions from a count sheet, you will receive a confirmation pop-up.

If sessions were accidentally deleted, they can be recovered.

Location: Physical Inventory > Sessions > Recover Session(s)

How it Works

Allows you to recover a session that was previously deleted. When you select Recover Session(s), a list of deleted sessions will appear, and you can choose which sessions to restore.

Note: Only sessions that were created and deleted since your store’s close out date will be displayed.

This warning helps users catch and correct data errors before they affect reporting after a physical inventory.

How it Works

If any items in a physical do not have a vendor price set resulting in a zero cost, a pop-up will display. The issue(s) must be resolved before the physical inventory is committed if the user does not have the permission ‘Allow Zero Cost Items’.

•     Physical Inventories > Physical Inventory Editor > Allow Zero Costs — Grants the ability to commit physical inventories with items that have zero costs included.

If a session was added to a physical inventory by mistake, you can now remove it easily, ensuring your inventory remains accurate and up to date.

How it Works

Grants the ability to remove a session from a physical inventory. To do so, select ‘Remove Session’ from the side panel.

Allows you to control who can create cycle counts ensuring only approved individuals can complete this action.

Location: The 'Create new Cycle Count' button is found under Physical Inventory > Physical Inventories.

How it Works

If a user has permission to create a cycle count, the 'Create new Cycle Count' button will be available. If a user does not have permission, the button will not display on their screen.

Enabling

•     Physical Inventories > Physical Inventory Editor > Create Cycle Count > Yes — Provides the ability to create cycle counts.

Manual Adjustment creation and the ability to edit commit dates or remove committed manual adjustments can be completed directly on the Manual Adjustments screen.

Location: Physical Inventory > Manual Adjustments

How it Works

The following buttons were added on the Manual Adjustments screen:

•     Create New Manual Adjustment

•     Remove Manual Adjustment

•     Change Commit Date

 The convenient location and new abilities on the manual adjustment screen makes managing manual adjustments simple.

Enabling

•     Manual Adjustment List > Edit — Grants the ability to create a manual adjustment.

•     Manual Adjustment List > Change Commit Date — Allows the commit date to be adjusted.

•     Manual Adjustment List > Remove — Allows committed manual adjustments to be removed by the user.

 

Negative Adjustment Quantities are Red

Negative adjustment quantities are shown in red, providing clarity when reviewing committed adjustments.

Location: Physical Inventory > Manual Adjustments

How it Works

Negative adjustment quantities will display in red. The red color provides users with clear confirmation that adjustment quantities were entered correctly when reviewing past adjustments.

The reference field in manual adjustments can be optional or completely removed, allowing teams more control over manual adjustment requirements.

Location: The reference field is located on the On Hand Adjustments editor.

How it Works

The reference field in manual adjustments is now permission based. The field can be made optional or can be completely removed from the On Hand Adjustments editor.

Enabling

•     Manual Adjustment List > Reference > Yes — If deselected, the reference field will not display.

•     Manual Adjustment List > Reference > Optional — If selected, the reference field will display but the user can commit without providing a reference.

 

  ITEM MANAGEMENT 

New views, prompts and warnings, and general improvements to how items are managed.

Provides a fast and easy way to review count sheet assignments.

Location: Item Management > Inventory Items

How it Works

This view allows you to see the Count Sheet assignments for inventory items.

Enabling

•     Inventory Items > Item List > Views > Count Sheets > Visible — Grants access to the Count Sheets view.

Shows the item inventory information most relevant to F&B on one screen.

Location: Item Management > Inventory Items

How it Works

This view provides the most relevant information on inventory items for Food and Beverage operations. New columns available in this view:

•     Size On Hand — shows the theoretical on-hand of other sizes.

•     Size Conversion — shows how many of the on-hand size make up the other sizes.

Enabling

•     Inventory Items > Item List > Views > Classic F&B > Visible — Grants access to the Classic FnB view.

Provides a complete overview of company inventory details regardless of user store visibility access.

How it Works

When using the All Stores view, users will see combined details for all stores in their Yellow Dog Inventory, regardless of the individual's store-level access permissions.

How it Works

After saving an item that does not have a vendor price, a pop-up warning will display.

Ensuring SKUs are unique is important in preventing inventory and integration issues.

Location: Pop-up that displays when saving an item that is assigned a SKU that is already assigned to another item.

How it Works

If a user has the ability to edit SKUs and enters a SKU already assigned to an inventory item, they will receive a warning.

Allows you to quickly resolve Vendor PN assignment issues.

Location: Item Editor > Vendor Products tab

How it Works

If a vendor PN was assigned to the wrong item, you can use the 'Reassign Vendor PN' button to remove the Vendor PN from the item and assign it to another item.

Provides users with the opportunity to review items without vendor prices along with the ability to update the price as needed, ensuring item vendor pricing information is accurate.

Location: Displays at start up

How it Works

When the related permission is enabled, a start-up prompt will display alerting the user of any items without a vendor price. In the pop-up users can:

•     Choose to Include PO Blocked Items (by default this is not selected).

•     Enter the vendor price in the 'Vendor Price' field.

•     Save updates with the 'Save Price' button.

•     Select 'Finish' when done reviewing to close out of the pop-up.

Enabling

•     Inventory Items > Start Up Items with Vendor Price of Zero > Visible — When enabled, a start-up prompt will display showing items without a vendor price.

Improves the readability and aesthetics of the system when viewing related recipes in the item editor.

Location: Item Editor > F&B Details tab

How it Works

If an item is assigned to more than 30 recipes, the 'Recipes' field will only show the number of Kits or Recipes rather than the full list. Clicking on the field will open a list of all recipes.

The primary vendor will automatically be assigned when creating new items, improving system efficiency and item management.

How it Works

When you create a new item, the vendor you assign will automatically be set as the Primary Vendor on the Vendor Products tab of the Item Editor. This plays an important role in:

•     Vendor Pricing Checks — when the system looks for items without a vendor price, it defaults to the primary vendor.

•     Bidding & Order Desk Worksheets — during bidding workflows, the primary vendor is included in the vendor selection process on the Order Desk Worksheet.

  SYSTEM SETUP 

Updates to POS item mapping, invoice staging permissions, vendor setup, and print templates.

Enabling this permission ensures your team is immediately aware of any new POS Items that require COGS assignment.

Location: Pop-up that displays after freshly launching Yellow Dog Inventory and logging in.

How it Works

•     Inventory Items > Start POSItem Mapping > Visible — When enabled, the start up prompt for POS Items that do not have a COGS account will display.

Linking POs can be set as mandatory to enforce linkage before converting an invoice staging document to an invoice.

Location: POs can be linked within the Staged Invoice Editor under the Purchase Order Information area.

How it Works

If the related permission is unchecked, all invoice staging documents must be PO linked before converting to an invoice.

•     Purchasing > Invoice Staging > Invoice Staging Editor > Allow Converting Without Linked Purchase Order > Yes — Deselecting this permission forces POs to be linked before converting a staged invoice.
