This article answers a common question for admins and IT staff setting up employee logins. It assumes some familiarity with Windows and Active Directory.

Question

Does Yellow Dog work with Windows Active Directory?

Answer

Yes. Yellow Dog Inventory can use Windows accounts and Active Directory to validate employees, so employees log in with the same credentials they use for Windows or Active Directory. You set up the access options once, and Yellow Dog validates passwords against your directory from then on.

A few things to know about how it works:

    Only the Employee Number is stored. The Employee Number must match the Active Directory username. The password is never stored in Yellow Dog Inventory.

    Credentials are validated at login. When an employee logs in, they enter their Employee Number and password, which are checked against Active Directory or Windows before they can use Yellow Dog Inventory.

    Feature access is still managed in Yellow Dog. Active Directory only validates the password. Employee permissions are still set in Yellow Dog Inventory System Setup.

To enable this, go to System Setup > Employee Options and select the appropriate option under Security: validate passwords against Windows or against Active Directory. Include your Windows Domain so employees can log in.

Caution: When Active Directory validation is enabled, a Yellow Dog password is not generated. As a result, employees cannot log in to the suite of mobile apps, which require a Yellow Dog password.

For the technically curious: Yellow Dog Inventory queries Active Directory using the .NET System.DirectoryServices.DirectorySearcher class, and queries Windows using the LogonUser API call.

Requirements

    Each employee’s Yellow Dog Employee Number must match their Active Directory username.

    Your Windows Domain entered in Employee Options.

    Employee permissions configured in Yellow Dog Inventory System Setup.
