WHY IT'S IMPORTANT
Stand-Alone Mode lets you collect inventory counts on a handheld device without a live connection to Yellow Dog Inventory. Self-Hosted users and anyone working without Wi-Fi access use this mode to scan and count items, then transfer the saved session files to a computer and import them into a physical inventory. This keeps your count process moving even when the device can’t reach Yellow Dog directly.
PREREQUISITES
• A Self-Hosted environment or a location without Wi-Fi access (the use case for Stand-Alone Mode)
• Count XL installed on your handheld device
• The USB 2.0 Type C cable included with your device, for transferring session files
• A physical inventory to import the counts into

STEP BY STE
Collect counts using Stand-Alone Mode
1. Open Count XL.
Note: If Count XL is installed but you can’t find the icon on your home screen, swipe up from the bottom of the screen to search through all apps. |
2. Press Use in Stand-alone Mode.
Note: If you don’t see Use in Stand-alone Mode because a Client ID was previously entered, press and hold the Client ID until you’re asked if you want to change the Client ID. Press Yes, and the Use in Stand-alone Mode button becomes available. |
3. Name the session using the Session Name field.
Note: We recommend including the date, location, and the user’s initials in the session name. |
4. Press both blue buttons on the side of the handheld to scan barcodes.
Note: If you have a pistol grip, use the trigger button to scan. |
5. Enter the quantity of the item using the calculator.
6. Continue scanning and entering quantities until counting is complete.
7. Select the yellow file upload icon to finalize the session.
Note: Finalizing clears the session from Count XL and saves a file on the device for you to upload to your Yellow Dog Inventory. |
Step 1: Configure the handheld
1. Plug the handheld into your computer using the USB 2.0 Type C cable included with your device.
2. Swipe down from the top of the device to open the setting menu.
3. Scroll down the setting menu until you see Android System, then tap the down arrow.
4. Press Tap for more options.
5. Choose File Transfer.
Step 2: Upload session files from the device to your computer
1. Open File Explorer on your computer.
2. Under This PC, select your handheld device.
3. Double-click Internal Shared Storage.
4. Open the Download folder.
5. Open the com.yellowdogsoftware.countxl folder.
6. Move all session files to a folder on your computer.
Note: We recommend creating a folder in a safe place, such as your desktop or documents folder, named [DATE] Inventory Counts. |
Step 3: Upload session files to the Yellow Dog physical inventory
Note: This section covers importing counts only, not the full physical inventory process. For complete physical inventory creation and review instructions, see the Rockstar Checklist Series. |
1. When creating a physical inventory, choose Add counts from an Excel, CSV, or text file on the Import Counts from… prompt, then click Next.
2. Select the three dots next to the Import File field.
3. Select a session file to import, then click Open.
4. Select the Data has a header row with column descriptions box if it isn’t already selected.
5. Use the SKU dropdown to select SKU.
6. Use the Quantity dropdown to select Quantity.
7. Click Next.
8. Click Select all X Items.
9. If you have another session file to upload, select the Import Counts From… button on the Physical Inventory Editor. This leads you through the same prompts as above.
Step 4: Remove the session from the device after the physical
Once the physical variance review is complete and the physical has been committed, confirm the sessions you created are removed from the device. This prevents confusion the next time the device is used.
1. Open File Explorer on your computer.
2. Under This PC, select your handheld device.
3. Double-click Internal Shared Storage.
4. Open the Download folder.
5. Open the com.yellowdogsoftware.countxl folder.
6. Right-click the session(s) and select Delete.
