Quick Reference: Event Milestone Breakdown

Event milestones are predetermined by the event type assigned to the event and are important because they set clear operational cutoffs for restocking, sales tracking, and reconciliation, ensuring accurate reporting and smooth event management. They help concession clients avoid overlaps, maintain inventory control, and keep financial data tied precisely to each event.



There are 4 Event Milestones:
  1. Restocking Done: This milestone sets the cutoff for pre-event replenishment. 

    1. It ensures stands are properly stocked well before gates open and reduces logistical chaos close to showtime.
    2. Once this time passes:
      1. Auto-Restocks can no longer be created, so stands must rely on manual picklists for additional stock.
      2. Any manual picklists show separately in reconciliation reports, ensuring clear visibility of pre-event vs. in-event restocks.

  2.  Doors Open: This milestone defines when customer sales are officially tied to the event.

    1. It ensures sales reports reflect only the period relevant to the actual event, keeping revenue accounting accurate.
    2. This can be updated as needed but cannot be after the event starts.
    3. Any transactions before this point will not be included in the stand reconciliation for the event.

  3. Doors Close: The sales cutoff time for the event.

    1. Any sales occurring up until Doors Close remain tied to the event for reconciliation.
    2. This can be changed but cannot be before event end time.
    3. A second event cannot be created in the same facility until the prior event’s Doors Close has passed.
      1. This prevents overlapping events in the system and guarantees each event has a clean financial boundary.

  4. Event Session Access Cutoff: At this time, operators lose mobile access for reconciliations.

    1. Any unfinished work must then be completed in Yellow Dog Inventory directly.
    2. Setting this milestone “liberally” is recommended to give staff enough time for reconciliation without losing access mid-process
